Deposit:

We accept 16 guest reservations. A $555 deposit is required at time of registration to secure your spot. Your deposit is non-refundable. An invoice with your balance and payment due date will be sent within 7 - 10 days of your initial deposit. 

Please also note that your deposit may be transferred to another person, however it may not be used for any other program, class, or other goods or services offered by Sophia Ruby.  

Retreat Payment Plans for both September and February Retreats:

• September Retreat Early bird balance due in full by July 14, 2025
• September Full Price Retreat balance due August 4 2025
• February Retreat Early bird balance due in full by December 14, 2025
• February Full Price Retreat balance due January 12, 2026
• A reminder invoice will be sent to the e-mail address you provide.

• Extra nights can be added at our San Jose Hotel for early arrivals and/or late departure. Fees will be added to your invoice.
• If registration occurs on or after balance due dates you will need to submit full retreat investment. These payments are non-refundable at that time.  

Cancellation Policy:

• A $555 non refundable deposit is required at the time of registration. Any cancellation will result in a total loss of the $555 USD deposit

• If you made any payment other than the deposit before the balance due date, the remainder of your payment will be refunded to you less the $555 deposit plus an additional $100 cancellation fee.
  
  
• If you cancel after the balance due date for any reason including, without limitation, physical or mental illness or injury, voluntary departure, and personal emergencies:
  • You will not be entitled to any refunded amounts, and 

  • You will forfeit all payments paid before that date.  
  • These payments are transferrable is you choose to send someone in your place.

  • This Cancellation Policy is firm and there are no exceptions. 
• No pro-rata refund is available for late arrivals, early withdrawals, or dismissals with cause.

Travel Insurance
In the event that you need to cancel because of unexpected circumstances, we do require that you protect your investment at the time of registration with Travel Insurance for your trip. These policies also cover and accident or health emergencies.
